Instructional Walkthrough for Online Book Submissions as a Publisher/ Artists’ Rep
To Create an Account
Go to soicompetitions.org.
Click the “Enter Work” button inside The Original Art 2020 Competition information box.
You will be taken to a new page to enter login credentials. To the right of this prompt box, you will see a button that says “Register an account here.” When you scroll over this button, the words “I need an account!” will appear. Click this.
You will be taken to a new page titled “Create a new account.” You will see that the third option is “I am an art director or artists’ rep. I plan to upload work on behalf of various illustrators.” Click this.
The site will request your email address. Enter your address, then click “Send Email.”
The site will send you an email prompting you to follow a link to complete the creation of your account. The sender’s address of this email should be: email@example.com, and the subject line should be: “A message from Society of Illustrators. Please note: This email may be automatically pushed to your spam/ junk folder, so be sure to check these folders before reaching out to firstname.lastname@example.org for further assistance.
By clicking the link provided in the email, you will be taken to a page that will enable you to complete your account registration and log into that account. You may also receive another email confirming your account’s creation and stating the login credentials you provided.
To Enter Your Illustrators’ Submissions
Go to soicompetitions.org.
Click the “Enter work” button inside The Original Art 2020 Competition information box.
Log into your Publisher / Artists’ Rep account with the credentials you created.
You will be taken to a page to start entering illustrators’ names in the competition. If you already have an account with us, set up for one of our previous competitions, you will be able to drag illustrators’ names from the left side of the screen into the competition box on the right side. If this is your first time working with our competitions site, or if you want to add an illustrator you have not entered work for before, click on “Add new illustrator.”
A prompt box will appear, asking you to provide the new illustrator’s first name, last name, and email address.Please note: The Society collects the artists’ email addresses in order to invite them to programs and events related to the show, such as the opening reception. Notification of acceptance into The Original Art will only be sent to the entrant’s / account holder’s email.
Once you’ve added all the required information for the new illustrator, click “save,” and you will notice that the illustrator has been automatically added to the competition box on the right side of the screen.
Once all the illustrators you wish to enter work for have been added to this box, click the “save” button located in the box. If you accidentally added an illustrator to this box that you do not wish to enter into the competition, hover over their name, and an “X” will appear. Click on this “X,” and their name will be sent to the list of illustrators on the left side of the page.
Clicking “save” will take you to a new page, with a list of the illustrators that you’ve entered into the competition. You will notice that each illustrator’s name now appears as a button. Click on the illustrator’s name you wish to upload entries for first. Please note: If for any reason you missed adding an illustrator to this competition, on the top of this page, above the buttoned illustrators’ names, you will see a button that says: “Add illustrator to list.” Click this to be taken back to the page for adding new illustrators to the competition. Once complete, click the “save” button.
Once you click on an illustrator’s button, a new page will appear with the illustrator’s name at the top left, above a list of items required for each entry. You will need to upload a JPEG image file of the book’s cover and a PDF of the entire book and fill in the required credit information. The file for the JPEG should be 72 DPI, RGB at a minimum of 1,000 pixels wide on the longest side if the image is horizontal, and a minimum of 800 pixels wide if it is vertical. There is no official size limit for PDFs, but if you are having difficulties uploading, you may have to drop your file size down, we suggest dropping the DPI down to 100-150, which will make the file size smaller and keep it at a clear visibility for the process.
Important: Please be sure to check the box if this book is eligible for the Dilys Evans Founders Award, an annual prize for the most promising new talent in the field of children’s book illustration. To be eligible, an artist may have no more than three books published in the US and may not have won the award before.
Once you have completed all the required fields, an “Add Entry” button will appear. Click this to complete the entry. Please note: PDFs will not be stored on the site, nor will they be downloadable through the portal. Our online competitions platform is a secure server, and judges will only be able to view these password protected files to select the in-show books and medal winners.
On this page now, in the right-side box, you will see a thumbnail image of the book cover you uploaded. This indicates that the site accepted the entry. Please note: The thumbnail may show only a portion of the image. This does not reflect how the image will appear to the judges; it will appear to them as you saw it in the preview window, after uploading the image file to the site. If no thumbnail image is present, please confirm that the book cover image file is at the correct specs. The site may not accept image files greater than the specs requested.
If you wish to enter another submission for this illustrator, you can do so on the left side of the page and repeat the process.
If you wish to submit entries for another illustrator, hover over the illustrator’s name that you are currently submitting for, and you will notice it now says “Change.” Click this, and the site will bring you back to the page with the list of all of illustrators you have entered into this competition. Click on the name of the illustrator whose work you wish to upload next; then follow the same procedures as before.
Continue this process until you have uploaded all the entries for this year’s Original Art exhibition.
Important: There is no formal “Submit Entry” button to click once you have completed this process. The site remains open for possible edits to entries until the deadline occurs. After the deadline, the site will automatically take the files and information that you’ve provided and send them to the judging portal for consideration.
To Edit Your Illustrators’ Submissions
If you are still logged into your account or if you have logged back into your account, select the illustrator for whom you need to update the files and / or information.
You will be taken to a new submission page for the illustrator, and in the box on the right side of the page, you will see a thumbnail of any book cover image previously entered.
If you hover over the submission thumbnail you wish to edit, a pencil icon will appear. Click this icon.
The site will now display the cover image file, PDF, and credit information provided for this entry. You will be able to edit any of these items, then click “Save Entry” to update the information and / or files.
To Pay for Your Submissions
Once a thumbnail image appears, an invoice box will pop up to enable you to pay for your submissions. Once you have finished uploading all submissions, you may pay the invoice for the total due.
Paying your invoice confirms your entry into the competition.Please note: If you generate a printable invoice to send with your check, you cannot change course and pay with a credit card online. If you choose to pay by check, please make it payable to: Society of Illustrators. If you are a Society of Illustrators member, you may bill your account for the entry fee. Please generate your invoice and then contact email@example.com. If you do not see your member discount reflected in your on-line invoice, please contact the Society before generating a printable version.
